Customers

A customer is an individual or company that purchases from you. If you sell through distributors, the customer may be your distributor or the end customer, depending on your business model.

Understand customer relationships

A customer can be associated with many locations, where assets can be located. A single customer can have multiple locations, which helps in tracking where assets are located and where services are provided. (A single location can belong to only one customer.)

List all customers

To see a list of all customers, navigate to the customers page. Here you will see a table with customer names, associated locations, how many assets a customer has on location, and information about owned assets.

Use the search or filter options to refine the customer list.

To view the full details of a customer, click the customer's name in the customer list:

The customer detail page is oriented to give a comprehensive overview of the customer's business with you:

  • Customer value - the and of the customer

  • Projects summary - a summary of active, upcoming, and past projects for the customer

  • Assets - breakdown of assets and

  • Sites - breakdown of customer locations by and status

The page also includes a billing summary for the customer across all the customer's projects.

Finally, this page includes detailed views to access the following information related to your customer record:

  • Projects - projects that are related to this customer

  • Locations - locations that belong to this customer

  • Assets on location - a list of assets that are located at this customer's locations

  • Assets owned - a list of assets that are owned by this customer

Note that assets may be at a customer's location even if they are not owned by that customer. This is usually the case for hardware-as-a-service business models.

Also note that assets may be owned by a customer even if they are not at a location owned by that customer. This is usually the case for assets that have been returned for service/repair.

Customer details also include a full audit log of the changes made to the customer over time.

Create a customer

To create an individual customer, click the "Add customer" button and a window will appear. Enter the customer's name and click "Add."

Name is the only field required to create a new customer.

Bulk creation

To import customers in bulk, you can configure an integration with a CRM or ERP, or set up API access. For more options, please contact support.

Edit a customer

To edit a customer, click the pencil icon ✏️ in the customer details window.

Merge customers

When you have duplicate customer records or need to consolidate customer data, you can merge two customers into a single record. This process combines all associated data (projects, locations, assets, billing information) from both customers into one retained customer record.

To merge customers:

  1. Navigate to the customer you want to keep (the "retained" customer)

  2. Click the merge icon in the customer details window

  3. Select the customer you want to merge into this record (the "removed" customer)

  4. Review and confirm the merge details

  5. Click "Merge customers" to complete the process

The merge process automatically:

  • Transfers all locations from the removed customer to the retained customer

  • Consolidates all projects and associated billing information

  • Moves all asset ownership and location assignments

  • Preserves audit history for both customers in the new merged customer record

  • Updates external system references if external IDs are configured

External customer ID

Each customer can have an optional external ID field that stores identifiers from external systems such as a CRM, ERP, accounting software, or internal database. This field:

  • Appears in the customer basic information section

  • Can be edited by clicking on the field

  • Is included in customer merge operations

  • Helps maintain consistency when integrating with other business systems

  • Is tracked in the audit log when changed

The external ID is particularly useful when merging customers, as it helps ensure the correct external system references are maintained after the merge.

Archive a customer

Archiving objects hides the object from the list view and dropdown menus. The object can still be viewed in the list by selecting the "Archived" option. Archived objects still appear in dropdown menus when searched by name.

To archive a customer that is not yet archived, click the archive icon 👁️‍🗨️ in the customer details window.

A small badge will appear on the customer indicating Archived.

The customer will now be visible in the customer list only when "Archived" is selected.

To unarchive a customer that is already archived, edit the customer and select the unarchive icon 👁️‍🗨 in the customer details window.
